Privacy Notice Form Builder Settings

A Dealership System Administrator (DSA) can edit his or her Privacy Notice Form within the ‘Preferences’ page, under the ‘Admin’ tab.

Within the 'Preferences' page, navigate to the above choice within the ‘Compliance’ section.

To use the Privacy Notice functionality in the Credit & Compliance page, you must upload a Privacy Notice. To upload a Privacy Notice, simply follow the upload instructions on the Preferences page in the Privacy Notice section.

If you don’t have a privacy notice custom to your dealership, you can easily create one with the Federal Reserve Board’s privacy notice builder, which is also accessible from the Preferences page.

Once you’ve uploaded a privacy notice, you can enable eSigning by checking the eSign checkbox. This will allow your customers to eSign a short document that states that they’ve acknowledged receipt of your privacy notice.

After your privacy notice is uploaded, you’ve checked the eSign checkbox, and clicked the ‘Save Information’ button at the bottom of the page, you’ll be able to print and eSign your privacy notice from the Credit & Compliance page.

It will take 24 hours for the Credit & Compliance page to update if you’re replacing an old privacy notice with a new version. If this is the first time you have uploaded a privacy notice, the update will take place immediately.

 

 

Auto Complete Privacy Notice


Within the 'Admin' tab, select the 'Preferences' option, and navigate to the above choice within the Compliance section.

Click the ‘Auto Generate Privacy Notice’ checkbox to auto generate a Privacy Notice for each applicant.

If selected here, these products will be selected by default every time a user of your system opens the ‘Credit & Compliance’ page and checks one or more Credit Bureau box. Not only will the products be selected, but they will be 'locked.' Users will not be able to uncheck the products – these auto complete settings ensure that compliance documents are generated with every single Credit Report.

eSign Privacy Notice Form Settings


A Dealership System Administrator (DSA) can upload a Privacy Notice within the eSigning Records and Documents section in the Premium Services page. This will allow your customers to eSign a short document that states that they’ve acknowledged receipt of your privacy notice. This setting will allow you to print and eSign your privacy notice from the Credit & Compliance page.

Once a Privacy Notice form has been created, using the ‘Add/Edit Dealer Privacy Notice’ button, a dealer can then collect eSignatures for the Privacy Notice.

Once the form is complete, click the ‘Sign Dealer Privacy Notice’ from the ‘Edit/More’ dropdown on the Deal manager to start collecting eSignatures.

Tips & Best Practices


SecureDocOne subscribers will be able to pull up all eSigned privacy notices from within SecureDocOne.  

Although RouteOne does support the form generation, the forms must be manually handed to the customer by the dealer. RouteOne does not automatically provide this for the customer.
